Orders

Search Orders

Orders → Search Orders

This page works much like the Search Inventory page but works with orders rather than with inventory. You can use it to view all purchase, shipping, or work orders by leaving all criteria blank or view a filtered list of orders by entering search criteria into the fields on this page. To use the Search Orders page:

  1. Tap on the button for the type of order that you wish to view (the “Purchasing” button for purchase orders, the “Shipping” button for shipping orders, or the “Work Orders” button for work orders).
  2. Enter the order number in the Order Number field if there is a specific order you want to find or filter.
  3. Enter the status of the order that you wish to view by using the select box in the Status field or select All in the select box in the Status field to show all orders of the given type.
  4. Select either the customer to whom the order is being shipped (for a shipping or work order) or the vendor with whom the order was placed (for a purchase order) using the select box in the Customer: or Vendor field, respectively.
  5. Tap on the “Search” button to bring up a list of orders of the type that you selected filtered based on the settings that you chose on this page. This page functions in the same way as the View Purchase Orders, View Shipping Orders, or View Work Orders page described below (what page specifically is based on which type of order you selected on the Search Orders page).

Quick Order

Quick Orders are a method of quickly creating shipping orders for large numbers of items to a single customer. To create and use shipping orders:

  1. Select a customer in the Customer drop-down menu in the Customer field. Note that you can use the Filter field to filter for a customer’s name.
  2. Enter the delivery date and notes in the appropriate fields, if applicable.
  3. Tap on the “Start” button.
  4. Search for a certain item ID or description by typing in the Filter field.
    • This field is the same as the Filter field described in the Search Inventory section of the manual.
  5. Enter the number of units to add to the order in the Units field.
  6. Press the “Save” button to add the item to the order.
  7. Repeat steps 4-6 until all of the items of the order are added.
  8. If you wish to cancel the order tap on the “Cancel” button.
  9. If you wish to clear the order, go to the review tab and tap on the “Remove All” button.
  10. Tap the “Complete” button to place the order.

Order Packing

The Order Packing screen allows you to set the status of some or all of the items of a shipping order to be packed. Note that this screen is only useful if you have order packing enabled. To use this page:

  1. Enter an order number manually using the Scan Order field or scan the barcode of a packing list by pressing the Scan button at the bottom of the screen (the second option is only available for mobile devices).
  2. This will automatically take you to a page that allows you to select which items you will pack.
  3. Type or scan the item which you are packing using the Item ID/Desc field.
  4. Select the location from which you are taking the items in the Location field.
  5. Enter the number of units to be packed from that location in the Units field.
  6. Tap on the “Save” button.
  7. Repeat steps 3-6 for each item on the order.
  8. Once you are finished adding all of the items that you wish to pack, go to the Review tab to review your order.
    • On this tab, you may check “Remove Transaction” on a line item to mark it for removal. Then click the “save” button to finish the removal of that item/s. Or you can click the “Remove all” button to remove all lines from the order packing screen.
  9. Tap on the “Pack” button to submit the order packing.

View Purchase Orders

This page allows you to view an unfiltered list of all purchase orders in your system that have the current warehouse selected as the destination to which goods will be shipped. You can search for a purchase order on this page by typing the criteria by which you want to search into the Search this Page… field. Note that searching will return all orders with the search criteria somewhere in their record. For example, if you search for 25, you might see an order with order number 00258, another with 25 items received, and another that was ordered on 6/25/2021. Therefore, be as specific as possible in selecting search criteria, as otherwise, your search may contain more results than you intended.

Purchase Order Details

Orders → View Purchase Orders → Arrow Button

This page allows you to view the details of a purchase order. It lists the vendor, date of order and shipping, notes, line item count, requested and received item totals, and total cost of the order in the header at the top of the page. As well, it lists the items of the order, what the unit of measure for each item is, how many items of a given type have been ordered and delivered, the cost per item, and the total cost of a given type of item. To use this page:

  1. Tap on the “Table” button to choose what data about the purchase order to display. (Note that by default the maximum amount of information is shown).
  2. Tap on the “Direct Receive” button to receive items against the purchase order. Clicking this button will take you to the Receive Stock page with the selected order automatically chosen as the order against which to receive.
  3. Tap on the “Add Photo” button to add a photo to the order.
    1. Tap on the “Open” or “Snap” button to open the camera.
    2. Tap on the “Snap” button to take a photo.
    3. Tap on the “Close button to delete the photo or tap on the “Submit” button to add the photo to the order.
  4. Check the Receive box in the Check column to mark an item for receipt. You can press the Select All or Deselect All buttons to select or deselect all of the items of an order, respectively.
  5. Tap on the “Receive” button at the bottom of the page to complete the purchase order. This will allow you to receive all of the items that you have marked by checking the Receive box in the Check column and completing the purchase order by taking you to a confirmation page. On this page, you can set how many units you are receiving in the Units field and complete the order by tapping on the “Receive” button. You can also remove items from the purchase order by checking the Remove this item: box for the items that you wish to remove and then tapping on the “Remove Selected Items” button

View Work Orders

This page allows you to view an unfiltered list of all work orders in your system that use goods from the current warehouse. Work Order Details

This page allows you to view the details of a work order. It lists the type, description, customer, account number, date of creation, status, and due date of the order, as well as who requested and scheduled the order and to whom the order was assigned, in the header at the top of the page. As well, it lists the items of the order, what the unit of measure for each item is, how many items of a given type have been ordered and output, the available count of an item, and the price of each item. To use this page:

  1. Tap on the “Table” button to choose what data about the work order to display. (Note that by default the maximum amount of information is shown).
  2. Tap on the “Add Photo” button to add a photo to the order.

Tap on the “Direct Issue” button to issue items against the purchase order. Clicking this button will take you to the Issue Stock page with the selected order automatically chosen as the order against which to receive. 5. Tap on the “Return Stock” button to return stock marked by checking the Use box in the Check column from the order to your inventory. This will take you to the Direct Receive screen from which you can return the items to your inventory.
