Getting Started

Below you'll find how to get started with Inventory Pro and a general outline of the main areas, If you're not finding what you're looking for check out the search bar above.

Installation

For people using the application there is nothing to install. So to access it simply go to the web address provided by CISS or your IT Department.

If you have purchased a self hosted solution and are looking for how to install the application on your Servers check our Installation Guide for more information.

Throughout this manual you will see directions such as
Inventory → Stock → Locate / Move
This indicates how to find something in the menu (here, that the page is located under the Stock submenu of the Inventory menu). These directions can also indicate a button or icon on which you need to click to perform the action being described. The format is Menu → Sub Menu → Page → Button or Action.

Quick Starts

Cycle Counts

Cycle counts are one of the most powerful tools in Inventory Pro. They allow you to quickly set the stock levels of all of the items in your inventory in one go and can be initiated on both mobile and desktop.

Purchase Orders

Purchase Orders are how Inventory Pro allows you to fill your inventory by ordering items from suppliers. They can only be made on Inventory Pro desktop, although they can be completed on mobile as well as desktop.

Shipping Orders are the main way of sending goods out of your inventory and to your customers in Inventory Pro. They can be used in both desktop and mobile, but this document will focus on the mobile version.

Restocking Quick Start

In order to streamline the reordering and restocking process, Inventory Pro has a number of built-in restocking tools that allow you to set up the orders needed to refill your inventory in just a few clicks.

Using Jobs

The job system is a way to organize all components used for any specific job. A job is a specialized task that can be used to track inventory throughout the system and separate inventory allocated for any job from normal inventory.

Accessing the system

Login

To log in to Inventory Pro, go to the web address of your Inventory Pro System in your web browser (Chrome or Firefox are recommended). Then enter your login details and click on the “Login” button.

Please note that multiple failed login attempts may result in a temporary or permanent lockout based on your systems settings. Permanent lockouts require an administrator to clear. Learn More

Single Sign On

Inventory Pro Online (IPOL) supports Single Sign On (SSO) via Active Directory, Smart Cards, Common Access Cards (CAC), and can be extended for other methodologies as well.

SSO allows a user to authenticate via a single service in your organization, then each application a person uses can tie into that service and identify them. This allows for ease of use and limits the need for unique passwords and security measures for your end-users. Learn More

Changing your Password

System → Accounts → Change Password If you've been given a temporary password by an administrator the system will prompt you to change it when you first login. Simply follow the on screen form, The system may be configured with password complexity requirements. A green check indicates a valid password.

Logout

You can log out of the system at any time by clicking on the Logout Button on the top of the screen. Be sure and save your changes on the screen before logging out.

Mobile

Device Support

Inventory Pro Mobile is supported on both apple and android devices.

Configuration of Devices

Inventory Pro Mobile requires camera access if working from a cellular device or tablet with a built-in camera. If using a barcode scanner, make sure only 1 carriage key is permitted.

Offline Capabilities

Inventory Pro Mobile allows for offline order processing. Whether in a warehouse or out on-site, temporary offline connections do not stop the ability to process an order. Any order processing done without an internet connection is cached locally in the system. Upon reconnecting to the internet, any order made offline will automatically be processed as usual.

Caching

Inventory Pro Mobile caches your information to speed up your process flow and to allow for work when in an offline area.

Universal Features and Functions

There are three ways to navigate through Inventory Pro Online: links, icons, and buttons. Each serves a different purpose within the system. Links will direct you to a new page, Icons are to show the context of an action or link. And buttons will perform an action based on the currently shown form/screen.

Example Icons -

  • A pencil icon is used to add and modify data in the system.
  • A tag icon displays a label.
  • A camera icon displays an image of an item asset.

Example Buttons -

The Main Menu is a bar at the very top of all Inventory Pro Online screens that serves three functions:

  • It shows what screen the user is viewing
  • It contains the “Logout” button
  • It lets the user access the five main modules Inventory, Orders, Reports, System, and Utilities

Your access to these options is controlled by your permission level, if you lack permission on something it will not be visible.

Dropdown menus appear whenever you click on a module on the Main Menu. All primary screens and lists that are in each module are accessible from these panels. Your access to these options is controlled by your permission level, if you lack permission on something it will not be visible.

Lists

Lists do just that—list records in a concise form. They also allow you to add, modify, search for (using both a search bar and filters), and view records.

Searching

Many screens throughout Inventory Pro offer a search box at the top left, This search box is an exact match search. We do support wildcard operators, So for example searching “00%” on your item list would return all items starting with “00”, Similarly “%00” would return all items ending with “00”. The wildcard can be placed anywhere in your search.

Lookups

Any list that is too long to readily fit in a select box will turn into a Lookup control in Inventory Pro. To open a lookup click on the “…” button next to the lookup field. These lookups are essentially just a searchable list with a few ancillary data points to help locate the options you need. Some screens also support typing into the lookup field.

Editing Records

Edit Screen

The edit screen shows details about a given record in the system and allows for editing, copying, or adding new entries. Access to these screens is controlled by your level of permission as well as your Group's Screenset. Different groups may have access to view or edit different fields depending on your organization's configuration.

Bulk Edit

The bulk edit screen can be accessed from most edit screens, This offers a way to change data very quickly in an excel like manner. The same rules and settings from the Edit screen apply, however, clients can also set this view to show/hide specific fields using the customize button.

Customizing

The Customize feature lets the system administrators customize the fields that appear on a given Edit Screen or Bulk Edit Screen. The “Customize” button is only available if you have the appropriate permission level. Please be aware that changing the configuration can break your forms if not done correctly. The screen allows you to rename fields, change the type of form controls, set defaults, and more.
